PT Jasa Teknologi Informasi IBM is IBM subsidiary which handle an IBM computers, ATM and other peripherals in Indonesia. We are seeking for highly motivated candidates to join the challenging opportunity as:
Secretary (SC)
Qualifications:
1. Fresh graduate with maximum 1 year experience
2. Graduated with D3 in Secretarial (from Tarakanita Secretarial Academy will become additional point)
3. Able to use Microsoft Office, Internet and other applications
4. Active English both oral and written, is a must
5. Pleasant & mature personality, strong initiative and good interpersonal/ communication skills
6. Dynamic, high motivated, well-organized, detailed oriented and hard-working
7. Able to handle multi tasking with long hours and work under pressure with minimum supervision
Area of Work
Secretarial Duties:
1. Make BOD Travel Arrangement
2. Arrange Acomodation for BOD business Trip
3. Keep & Update the track of Out Going Mail Register number
4. File The Out going mail hard copy
5. Keep & Update the track of Purchase Requestition Number
6. File the PO & PR (include the supplier selection summary, Quotation, Price Deal, Request Mail/ approval,) in Hard copy & soft copy
7. Provide Office equipment
8. Update the BOD annual leave status
9. Filing the Legal document
10. Filing contract with vendor & remind the status
11. Contact with vendor for several mater
12. Support any activities for Company event
13. Update the Hotel corporate rate
14. Update the Company Book collection
HR Duties:
1. Setting Standby & Shift schedule for whole month in web system
2. Whole Employee absence check and input into Company Web System
3. Key in the Standby & Shift Schedule in web system, so the employee can claim thru web system
4. Approve the Annual leave, Shift Standby staggered and Overtime Claim
5. Process the recapitulation of daily attendance, travel, shift & Overtime for the Payroll process
6. Support education / class material preparations and fillings
7. Arrange/support room & accessory requirements for meeting, events, classes, etc.
8. Provide IBM Business Conduct Guidelines document, monitor BCG Certification, and file employee’s BCG certification
9. Keep & Update the track of Release Letter Number
10. Assist the recruitment test (if needed)
